Maintenance and asset management with IFS EAM

Paper work orders, a preventive plan nobody follows, and failure history that lives in one technician's head. BI Smart implements EAM end to end, with IFS EAM as the reference platform, designed together with the people who execute: from the plant floor to offshore vessel fleets. We work on IFS 10 and IFS Cloud: if the maintenance module is already licensed in your IFS, the project uses what is installed, and a version upgrade is a separate decision, taken later: what you set up in IFS 10 (structure, plans, history) is carried over in the migration to IFS Cloud; you do not start from scratch. It starts with a week in your operation, on site, in any state: we survey what already exists in IFS and the preventive spreadsheet, and you get the list of what to keep, what to redo and the order of entry by equipment type.

All services

Who it is for

  • Asset-heavy industry, where unplanned downtime costs by the hour.
  • Rental and service companies with equipment installed at client sites.
  • Operations with fleets, plants or distributed units and too much reactive maintenance.
  • A company that already runs IFS with the maintenance module idle: we set up assets, plans and work orders in the IFS you already pay for, and migrate today’s preventive spreadsheet.

What changes in practice

  • Unplanned downtime stops being a surprise and becomes a tracked number.
  • Maintenance cost per asset, comparable across units.
  • Failure history that survives a technician leaving.
  • A preventive plan the operation follows, because it helped design it.
  • After go-live, the maintenance module joins the support ticket queue, with deadlines by criticality.

What the offshore fleet shares with a rented fleet: assets that move, hour meters and work orders at the site where the asset is.

What we do

01

Asset structure

Functional hierarchy, identification, and what needs tracking by serial number or batch. For a rental company, the equipment is registered at the client’s address, and the work order is created at that site.

02

Maintenance plan

Preventive by calendar or by meter, taking care not to plan in months what the operation measures in running hours. Without telemetry, the hour meter comes in through the app on the visit or from an imported spreadsheet, and the preventive is triggered by it; with telemetry, through Orbit IoT.

03

Work orders in the flow

Opening, reporting, materials and labor, with cost reaching accounting. For the field team, the IFS work-order app on the phone, on IFS 10 and IFS Cloud, which works offline and syncs later. During the survey week we check whether your IFS contract covers the mobile app.

04

Reliability KPIs

Mean time between failures, mean time to repair and availability per asset, coming out of the ERP itself, with no parallel spreadsheet. For a rental company, an hour down at a client is an hour not billed.

How we implement

  1. 1

    One week in the operation

On site, in the yard, the workshop or on board: what already exists in IFS, the preventive spreadsheet and the list of what to keep, what to redo and the order of entry by equipment type.

  2. 2

    Asset structure

A hierarchy by equipment type, with the serial-number and lot criteria, and each asset registered where it is: at the plant, on the vessel or at the customer's site.

  3. 3

Plans by hour meter and calendar

Today's preventive maintenance migrated with the right trigger: running hours, kilometers or date.

  4. 4

    Work orders in the flow

Opening, reporting, materials and labor, with cost reaching accounting; on the phone for the field team.

  5. 5

    KPIs from the first month

Mean time between failures, repair time and availability per piece of equipment, coming out of the ERP, with no parallel spreadsheet.

  6. 6

    Support

What the operation asks for after go-live, with deadlines by severity.
